Your CRM Is Lying to You

The Problem

If your CRM says a deal is in "discovery" but the buyer's already evaluating competitors, your pipeline forecast is fiction. Here's how to fix the data problem.

Open your CRM. Look at the deals in your pipeline. Now answer honestly: how many of those deal stages are actually accurate?

If you're like most small teams, the answer is "maybe half."

There's a deal sitting in "discovery" that's actually dead. There's one in "proposal sent" where you never sent the proposal. There's a close date of "this month" on a deal where the buyer hasn't replied in three weeks.

Your CRM isn't tracking your pipeline. It's tracking what you told it three weeks ago.

Why This Matters More Than You Think

Every decision you make about where to spend your time comes from your pipeline view. Which deals to prioritise. Which ones need attention. Whether you're on track for the quarter. If that data is 3 weeks stale, every one of those decisions is based on fiction.

Your forecast is wrong. Your time allocation is wrong. And the deals that actually need attention are hiding behind inaccurate stage labels.

The Fix Is Boring and Effective

Update every deal within 15 minutes of every meeting. Not at the end of the day. Not during your Friday pipeline review. Immediately, while the conversation is still in your head.

Four things to update:

  • Deal stage (based on what the buyer actually committed to, not what you hope)
  • Close date (based on what the buyer said, not the default date you set when you created the deal)
  • Next step (one specific sentence: what happens next and when)
  • Notes (raw capture from the meeting, paste them in)

If updating your CRM takes more than 5 minutes per deal, you have too many required fields. Strip it back. The goal is fast, accurate capture. Not a data entry exercise.
